River Valley Daycare & OSC ("we", "us", "our") is a licensed non-profit childcare centre located at 8625 109 ST NW, Edmonton, Alberta, T6G 1E7. We are licensed by Alberta Children's Services and operate under the authority of the Child Care Licensing Act (Alberta).

We take your privacy seriously. This Privacy Policy explains how we handle personal information about prospective families, enrolled children, parents/guardians, and visitors to our website www.rvdaycare.ca.

2. Applicable Legislation

We are committed to complying with:

• Personal Information Protection and Electronic Documents Act (PIPEDA) — Canada's federal private-sector privacy law
• Personal Information Protection Act (PIPA) — Alberta's provincial private-sector privacy law, which takes precedence for our provincial operations
• Child Care Licensing Act (Alberta) — which governs the collection and retention of records related to children in our care

Alberta's PIPA is substantially similar to PIPEDA and has been deemed to provide equivalent protection by the federal Privacy Commissioner.

3. What Personal Information We Collect

Families & Enrolled Children

• Child's full name, date of birth, and photo (for identification and programming)
• Parent/guardian names, home address, phone numbers, and email addresses
• Emergency contact information
• Child's health information: allergies, medical conditions, immunization records, medications
• Custody or legal guardianship documentation where applicable
• Subsidy application information (CWELCC / ACCS)
• Payment and billing information (processed via secure third-party systems)

Website Visitors

• Name and email address if you contact us via email or booking forms
• Tour booking details submitted through Calendly
• Website usage data collected via cookies (see Section 8)

4. Why We Collect It (Purpose)

We collect personal information only for the following purposes, which we identify before or at the time of collection:

• Enrolling and caring for children in our programs
• Communicating with parents and guardians about their child's daily care and development
• Meeting licensing, regulatory, and reporting requirements under Alberta law
• Processing fees and government subsidy applications

• Calendly — tour booking information is processed through Calendly's platform (subject to their own privacy policy)

We take reasonable steps to ensure that any third party receiving personal information provides comparable levels of protection to those described in this policy.

8. Cookies & Website Analytics

Our website uses cookies — small text files stored on your device — to help us understand how visitors use the site and to measure the effectiveness of our advertising.

What cookies we use

• Google Analytics (G-9T3EQWCEN8) — collects anonymised data on page visits, session duration, and general location (city level). This helps us understand which content is most useful to families.

• Children's care records are retained for a minimum period as required under Alberta's Child Care Licensing Regulation
• Financial and billing records are retained for a minimum of 7 years as required by the Canada Revenue Agency
• Website analytics data is retained in Google Analytics for a maximum of 26 months
• General inquiry and tour booking records are retained for up to 2 years

When personal information is no longer required, it is securely destroyed or de-identified.

We use appropriate physical, administrative, and technical safeguards to protect your personal information against loss, theft, and unauthorized access, disclosure, copying, use, or modification. These include:

• Restricted access to personal information on a need-to-know basis

12. Children's Privacy

Our website is not directed at children. We do not knowingly collect personal information from children through our website. All personal information about enrolled children is collected from parents or legal guardians as part of our enrolment and care processes.
